THE BRIEF
Sargood on Collaroy is a purpose-built, resort-style facility on Sydney's Northern Beaches for people living with spinal cord injuries. Fully accessible accommodation alongside an extraordinary program of adaptive activities, from surfing and waterskiing to mountain biking and fishing charters.
Every stay involves a remarkable amount of coordination: personalised care and clinical support, specialist room setup, funding across NDIS, iCare and the Sargood Foundation, adaptive recreation bookings, and the alignment of support workers and coordinators. Before the new platform, all of this placed significant manual burden on the team, and the guest experience was cumbersome for people already managing complex needs.
Sargood came to Castle ready to build something that reflected who they are: a world-class accessible facility run by people who believe technology should make extraordinary experiences more accessible, not less.
OUR APPROACH
Before a single wireframe, we mapped the full guest journey, the operational workflow, and the funding complexity. That strategy drove every design and engineering decision that followed. The approach takes longer upfront and delivers a far better product on the other side.
The guest portal had one north star: make a genuinely complex process feel simple and dignified for people managing significant physical disability, many using assistive technology. Step-by-step flow, real-time validation, save-and-return, accessibility throughout.
Disability support is one of the most frequently changing funding environments in Australia. The platform was built so the team can update funding arrangements, providers and package structures themselves, without depending on a developer every time something shifts.
This was not a build-and-leave engagement. Since 2022 the platform has evolved across multiple versions, growing with the organisation rather than freezing at launch.
WHAT WE BUILT

One system, two front doors: the admin platform the Sargood team runs on, and the guest portal their visitors book through.
Designed with one overriding principle: it must be genuinely accessible for people managing complex physical needs. The booking form guides guests through everything the team needs to prepare a perfect stay, covering care, equipment, room setup, funding and activity interests, in a clear, validated, step-by-step flow with save-and-return.

A comprehensive operational hub for the Sargood team, not a form-collection tool. Full visibility from first enquiry to confirmed stay, rich guest records, and the flexibility to adapt as the funding landscape changes.
